A vacancy has arisen to join our team on a permanent contract, based at our client site in Bristol. The successful candidate will be proactive and to provide professional, customer focused day-to-day 'hands on’ Office Administration’ support of the Crawley office and the Workplace Office Manager in the areas of: service solutions (mail, reprographics, records management, stationery); visitor management (reception) and day to day management of building support functions. Working closely with our approved partners in the operation and administration of day-to-day workplace services. Main Responsibilities * To provide a professional, friendly and helpful customer focused service to our clients each day * Daily administration and proactive management of procedures including meeting room requests, visitor management managing email inbox, document handling, data classification, client access to restricted areas to maintain compliance with ISO 27001 accreditation (Information security standard) * Fulfill mail & distributions services of incoming & outgoing, post and couriers * Manage onsite and offsite records management * Reprographics services including printing, laminating, wire binding and scanning * Filling cupboards with stationery and photocopier paper, loading paper and toner into photocopier * Stock management and ordering * Ensure office reporting is carried out in a timely manner and mandated daily or regular checks are carried out Welcome / Client Contact: * First point of contact for all external clients, issuing visitor badges, locating and notifying host, keeping client informed. * Meeting room set up, requiring positioning of table and chairs and adjusting the partition wall between meeting rooms. Manual handling is essential to this role * Ensuring the firms security procedures are adhered to. * Book, manage and monitor car park spaces within the internal car park. Meeting Room Bookings: * Monitoring the meeting room diaries /databases & prioritising external client meetings. * Prepare refreshments for meeting rooms and place refreshments/catering in rooms in conjunction with housekeeping team. * Ensuring meeting rooms are stocked correctly with stationery Other / general duties: * Assisting with staff queries both in person and on the telephone, e.g. alterations to reservations. * Performing any ad-hoc "event-driven" duties as and when appropriate. Job Knowledge, Skills and Experience: * The ability to build relationships with customers and communicate effectively at all levels * The ability to demonstrate a customer focused and "Can do" attitude with clarity of vision, sound judgement and good priority skills are fundamental requirements * A basic knowledge in the use of AV equipment and Video Conferencing and ability to arrange appropriate technical assistance as and when required * To be proactive, self-motivated and understand the parameters of the role and refer issues upwards * Excellent verbal and written English * Computer literate intermediate level Working monday to friday, 40 hours per week
