Main purpose of the role:

To assist the STEM Events Programme Manager to manage the end to end delivery of STEM Events and associated products.  By contacting schools to generate STEM day bookings and giving associated administrative support.

This role is essential to ensure the successful delivery of the Trust’s STEM activities in line with the agreements with external stakeholders.

Principal Responsibilities

Assist the STEM Events Programme Manager with the end to end delivery of the STEM activities in line with the external stakeholders’ contracts.
Contact schools as directed, to book free of charge STEM days, arrange delivery of free of charge Think Kits and to give away free Student places on the Trust residential courses.
Use of telephone within the role.This may involve calling schools in order to book the free places/courses, or responding to telephone queries as required.
Follow up on orders for the Trust’s paid STEM days and paid STEM Think Kits. Arrange for invoicing to be processed and delivery of the Think Kits and STEM days in a timely manner.
Maintain and update the CRM database 
Use Outlook calendars to determine available dates for delivery 
Liaise with external suppliers to ensure effective delivery of our Think Kit products and to ensure stock levels are maintained.
Work with the Project Development team to produce the workbooks and paperwork for new projects. Also assist in gaining Crest Accreditation for new projects, as required.
Order, organise and pack STEM kit and paperwork to be sent out to the deliverers of the events, as required.
Process Crest Award Certificates for STEM Events.
Liaise with companies and STEM ambassadors to gain support on STEM days and keep accurate records of their involvement.
Process feedback from STEM events in a timely manner.
Maintain the stock
Attend external events as required.
Complete purchase orders, invoices, mailshots, etc, as required and directed.

Person Specification​

  • Minimum 5 GCSEs at A-C, including English and Mathematics (or Functional Skills equivalent).
  • Experience working in a lead generation, telesales or customer service capacity.
  • Confident using the telephone to make and receive calls.
  • Proactive self-motivator who is willing to go the extra mile in order to succeed.
  • Knowledge and understanding of GDPR and the safeguarding of data.
  • Excellent administration skills.
  • Advanced Microsoft Office user essential, especially Word, Outlook and Excel.
  • Experience of databases/CRM.
  • Possess good command of English Language, both written and spoken with an excellent telephone manner.
  • An understanding of stock control (not essential)
  • Ability to maintain a high level of professionalism at all times.
  • Willingness to learn and develop with the role.
  • Self-starter with the ability to prioritise work.
  • An eye for detail and a commitment to ‘right first time’ administration.
  • Mature and conscientious attitude, producing reliable and accurate work.
  • Act as effective team member, but also able to work on own initiative.
